Calibration You Can Prove
SeekSoft™ gives every machine, gauge, instrument and hand tool a tamper-evident RFID identity — so PM rounds, calibration due dates, out-of-tolerance events and chain of custody are captured automatically at the point of work, not reconstructed from memory the week before an audit.
What is RFID-based preventive maintenance and calibration tracking?
RFID-based preventive maintenance and calibration tracking is a method of managing service and measurement-assurance work in which every asset carries a passive UHF RFID tag holding a permanent, machine-readable identity. When a technician performs a round, or when an item passes a fixed reader, the platform records which asset was touched, where, when and by whom — automatically. Preventive maintenance is then triggered by verified usage and condition rather than a calendar, and calibration status is derived from live data instead of a spreadsheet.
SeekSoft™, the middleware platform built by Asset Online Pvt. Ltd. (AOPL), delivers this across manufacturing plants, hospitals, laboratories, defence and PSU establishments, data centres and multi-site facilities — from a single production line to a multi-city estate running on one asset record.
The Challenges We Solve
What preventive maintenance and calibration tracking actually looks like inside a large organisation before RFID — and where the money, the risk and the audit exposure are hiding.
Calendar PM That Ignores Real Usage
Fixed 30/60/90-day schedules over-service idle equipment and under-service hard-run lines. Maintenance budget is consumed on the wrong assets while the failures still happen — and reactive repair typically costs several times the same job done as planned work.
Calibration Registers Kept in Spreadsheets
The master register drifts out of sync with the shop floor within weeks. Overdue gauges stay in service, due-date alerts depend on one person remembering, and no version of the file is defensible evidence in front of an assessor.
No Proof the Round Was Walked
Paper checklists can be completed at a desk. Assessors increasingly ask for evidence that the technician physically reached the asset and inspected it at the stated time — a signature alone cannot establish presence.
Technicians Spend the Shift Searching
Portable instruments, test kits, tooling and mobile equipment migrate between departments, contractors and stores. Hunting for an asset is the single largest non-value activity in most maintenance departments, and it delays every downstream job.
Records Fragmented Across Systems & Vendors
Work orders sit in a CMMS, certificates in a vendor portal, warranty terms in email, spares in ERP and the OEM manual in a shared drive. Nobody can answer “what is the certified status of this asset right now” in a single query.
Instruments Out for Calibration Disappear
Items sent to an external laboratory are logged in a gate-pass notebook and then forgotten. Nobody can say what is currently out, how long it has been away, or what the line has been measuring with in the meantime.
Five Capability Layers, One Maintenance & Calibration Platform
SeekSoft™ unifies identity, condition, workflow, compliance and integration — each layer engineered to remove a specific failure mode from the traditional operating model, with quantified return on investment.
Vertical 01
Tamper-Evident Asset Identity
Every machine, gauge, instrument and hand tool carries a UHF RFID identity built to survive heat, coolant, vibration, solvents and wash-down. Readers capture presence automatically, so the record of what was inspected is created by the physical act of inspection rather than by data entry afterwards.
- On-metal UHF tags for machinery, gauges, tooling and panels
- Handheld RFID rounds with time-stamped proof of presence
- Fixed portals at tool cribs, metrology labs, stores and gates
- Bulk cycle counting — hundreds of items per sweep, no line of sight
- Certificates and manuals bound to the tag ID, not to a filename
Vertical 02
Usage and Condition-Based PM Triggers
SeekSoft blends RFID identity with runtime hours, cycle counts, vibration, motor current, temperature and humidity, so a work order is raised on evidence of wear rather than on a date in a calendar. Drift analytics then tighten intervals on unstable instruments and safely extend them on stable ones.
- Runtime, cycle-count and duty-based PM triggers
- Vibration, temperature and motor-current signature monitoring
- Drift analytics that right-size every calibration interval
- Environmental logging for controlled-condition assets and stores
- Failure-code and spare-consumption capture at the point of repair
Vertical 03
Digital PM Rounds and Work Order Execution
A preventive maintenance schedule is only as good as the round that executes it. SeekSoft pushes the route to a rugged handheld, enforces the sequence by tag read, and captures readings, photos, failure codes and spares consumption at the asset — so a work order can only close once the technician has demonstrably been there.
- Handheld and rugged-phone rounds with offline dynamic checklists
- Route sequence enforced by tag read order, with skip exceptions logged
- Readings, photos and failure codes captured at the point of work
- Spares issued and consumed against the live work order
- Contractor and AMC visit verification with measured time on site
Vertical 04
Audit-Ready Calibration Governance
Standards do not ask you to assert control — they ask you to demonstrate it. SeekSoft holds the interval logic, the escalation ladder, the out-of-tolerance containment workflow and the traceability chain in one place, so an assessor’s question is answered from live data rather than from a binder somebody has to find.
- Interval control with escalation to owners before the due date
- Out-of-tolerance containment, quarantine and impact analysis
- Unbroken traceability to national and international standards
- Electronic records and signatures with a tamper-evident audit log
- One-click evidence packs for ISO 9001, ISO/IEC 17025, NABL, NABH, AS9100 and 21 CFR Part 11
Vertical 05
Enterprise Integration and Edge Deployment
SeekSoft is middleware, not another island. It normalises reads from mixed reader estates, buffers at the edge when the network drops, and writes a single authoritative asset record into the systems your finance, quality and operations teams already use — including fully air-gapped installations for defence, PSU and regulated sites.
- Connectors for SAP PM/EAM, Oracle, Maximo, LIMS and QMS
- REST, OPC-UA and MQTT interfaces with offline edge buffering
- Air-gapped, on-premise or private-cloud deployment
- Role-based access, SSO and tamper-evident system logs
- Scheduled reports and live dashboards for plant and board review
The Preventive Maintenance & Calibration Lifecycle with RFID
Maintenance and metrology are the same loop running at different intervals: identify, baseline, schedule, trigger, execute, verify, record, improve. Here is what RFID changes at each stage, and where it pays back.

Platform Features
What SeekSoft does with a tagged asset and instrument estate, from the first commissioning read to end-of-life replacement.
Read-verified rounds and inspections
A PM task closes only when the asset’s own tag has been read within range. Skipped stops, out-of-sequence visits and impossibly short rounds surface as exceptions on the supervisor’s dashboard the same shift, not at the next audit.
Risk-based interval right-sizing
Every calibration writes as-found and as-left values against the tag. Accumulated drift history justifies tightening intervals on unstable instruments and extending them on consistently stable ones — the evidence-based approach assessors expect.
Out-of-tolerance containment
A failing instrument is quarantined automatically and blocked from issue. The platform then returns every job, batch and inspection recorded against that tag since its last valid certificate, converting an open-ended recall question into a defined list.
Calibration despatch and vendor turnaround
Instruments read out at the gate and back in on return, so what is currently with an external laboratory is always visible. Turnaround is measured against the contract, and a tagged loaner pool keeps the line running while items are away.
Tool crib and instrument issue control
Portals at the crib record who took which gauge, when it is due back and whether its calibration is still valid. An overdue instrument cannot be issued, which is where most out-of-tolerance measurement events are actually prevented.
Offline-first mobile execution
Plant rooms, basements and shielded halls rarely have reliable coverage. Handhelds hold the route, checklist and asset history locally and synchronise when connectivity returns, so no read and no reading is ever lost to a dropped connection.
Tag, Hardware and Read-Point Design
RFID fails when the tag format is wrong for the surface and the environment. This is the selection logic we apply during survey.
| Asset Category | Tag Format | Typical Read Point | What It Controls |
|---|---|---|---|
| Production machinery, motors, drives | On-metal hard tag, screw or weld mount | Fixed reader at line entry plus handheld | Runtime PM triggers, service and failure history |
| Gauges, torque tools, micrometers | Miniature on-metal tag or embedded inlay | Tool crib issue counter | Calibration validity enforced at point of issue |
| Test & measurement instruments | Rugged label or cable-tie tag | Metrology lab and gate portal | Despatch, return and vendor turnaround time |
| Electrical panels, breakers, distribution boards | Flexible on-metal label | Handheld sweep on the inspection round | Proof of inspection, thermography history |
| Fire, safety and emergency equipment | Encapsulated UV-resistant tag | Handheld statutory round | Statutory inspection compliance evidence |
| HVAC, chillers, DG sets, UPS | Weatherproof on-metal tag | Fixed reader in plant room plus handheld | Condition-based PM and SLA evidence |
| Lifting tackle, slings, pressure vessels | Sealed tag or tagged identification plate | Gate portal and stores | Load-test and statutory certification status |
Use Case Scenarios
Six deployments we see most often across Indian industrial, healthcare and regulated estates, and the operational question each one answers.
Torque Tool Control on an Assembly Line
Safety-critical joints depend on torque tools whose calibration silently expires between audits. Tagging the tools and portalling the crib blocks issue of any tool past its due date and binds every torque record to a valid certificate.
Metrology Lab Turnaround & Loaner Pool
Instruments sent to an external laboratory disappear into a gate-pass register. Reading them out and back in makes the outstanding pool visible, measures vendor turnaround against contract, and manages tagged loaners so production never waits.
Statutory Safety Equipment Rounds
Extinguishers, hydrants, eyewash stations, emergency lighting and lifting tackle each carry a legally mandated inspection interval. Tag-read rounds produce a time-stamped, per-item record that survives an inspector’s scrutiny.
AMC and Contractor Verification
Annual maintenance contracts are billed on visits that nobody independently verifies. Contractor handhelds or gate portals record arrival, assets touched and time on site, so the invoice is reconciled against evidence.
Regulated Batch Instrument Control
In pharmaceutical and medical-device manufacturing, an instrument found out of tolerance puts every batch it touched in question. Tag-level read history scopes the impact review precisely, with electronic records and signatures intact.
Critical Plant in Data Centres and Utilities
UPS strings, chillers, DG sets and fire systems carry uptime commitments with financial penalties. Verified PM rounds plus environmental and runtime logging produce the SLA evidence pack alongside the maintenance record itself.
Impact on the Business Process
RFID does not simply digitise the existing maintenance workflow. It changes who does what, when the work is triggered, and what counts as proof.
| Process Step | Traditional Operation | With SeekSoft and RFID |
|---|---|---|
| Asset identification | Painted numbers, faded barcodes, local nicknames that differ by shift | Permanent tag ID readable through grease, at distance, with no line of sight |
| PM trigger | Fixed calendar interval applied uniformly regardless of load | Runtime, cycle count or condition threshold specific to that asset |
| Proof of execution | Signature on a checklist that could have been completed anywhere | Tag read at the asset, time-stamped, attributed to a named technician |
| Calibration status | Spreadsheet updated when someone remembers; due dates missed silently | Live status with tiered escalation raised before the interval expires |
| Out-of-tolerance event | Discovered late, impact reconstructed manually from production records | Instrument quarantined automatically; affected work identified by query |
| Stock and spares | Annual physical verification, long shutdown, large unexplained variance | Continuous cycle counting in the background, variance investigated weekly |
| Instruments sent for calibration | Gate-pass register in a notebook; no view of what is out or overdue back | Despatch and return read at the gate; vendor turnaround measured per contract |
| Audit preparation | Weeks of collation across binders, portals, email and drives | Evidence pack generated on demand from the live record |
Overall Business Advantages
Where the value actually lands on the P&L, the risk register and the balance sheet.
Cheaper planned work than reactive repair
Industry benchmarks consistently put the cost of the same job performed reactively at several times the planned equivalent, once emergency labour, expedited spares and lost output are counted. Shifting the planned-to-reactive ratio is the single largest financial lever in maintenance.
Recall exposure contained
When an instrument is found out of tolerance, the question is which measurements it touched since its last valid certificate. With tag-level read history that scope is a query; without it, the conservative answer is everything, which is how a single gauge becomes a batch-wide quality event.
Deferred purchases and lower par levels
Organisations routinely buy duplicates for assets they already own but cannot find, and hold surplus spares to absorb uncertainty. Accurate utilisation and location data releases both — often funding the deployment from avoided purchases alone.
Longer asset and instrument service life
Right-sized intervals stop the twin failures of over-servicing stable equipment and neglecting hard-run equipment. Evidence-based replacement decisions, taken on drift and failure history rather than on age alone, extend useful life across the estate.
Technician hours returned to real work
Searching, counting and re-keying are the three largest non-value activities in maintenance and stores. Automating identification returns that time to inspection, repair quality and root-cause work.
A defensible record in front of any assessor
ISO 9001, ISO/IEC 17025, NABL, NABH, AS9100 and 21 CFR Part 11 all converge on the same demand: demonstrate control with records. A system that creates evidence as a by-product of doing the work never has to reconstruct it.
