IT Infrastructure Overview

Library & Media Management

RFID self-checkout kiosks eliminate checkout queues and reduce library staff workload by 60%. HF RFID tags on books, periodicals, DVDs, and equipment enable batch returns at drop-boxes, automated sorting to home shelf, security gates that alert on unauthorized removal, and perpetual catalogue accuracy — supporting 24/7 self-service library operations.

University libraries now serve thousands of students across long hours, multiple campuses and growing collections. Barcode-and-counter operations were not built for that scale.

An RFID library management system uses radio-frequency identification tags inside books and media, and readers at counters, kiosks, gates and shelves, to automate circulation, security and inventory. Unlike a barcode, an RFID tag is read without line of sight, several items can be read at once, and the same tag carries the item's security status.

SeekSoft iLib, developed by AOPL on the SeekSoft™ middleware platform, helps universities tag, circulate, secure, audit and analyse their collections while keeping their existing ILMS, such as Koha or SOUL, as the system of record.

Pain Points

Challenges We Solve

Traditional library operations built on barcodes, magnetic strips and paper registers hold back students, staff and accreditation outcomes.

Long circulation queues at semester peaks

Barcode issue and return handles one book at a time, so counters jam during exam weeks, orientation and project submissions

Stock verification that takes weeks and closes the library

Annual physical verification of lakhs of volumes means shutting reading halls and pulling staff off user services

Book loss, theft and unreturned items

Magnetic-strip and manual bag checks miss items, and replacement of costly reference titles drains the acquisition budget

Misplaced and mis-shelved books

A book shelved one rack away is effectively lost; students report "not on shelf" for titles the catalogue shows as available

Stretched library staff and limited service hours

Professional librarians spend their day on repetitive transactions instead of research support, information literacy and e-resources

No usable data for NAAC, NIRF and collection decisions

Footfall, usage and circulation evidence is compiled manually from registers, making accreditation documentation slow and hard to defend

RFID Tagging & Collection Conversion Station
rfid-aidc

RFID Tagging & Collection Conversion Station

Convert an existing barcode collection to RFID without re-cataloguing. The SeekSoft iLib staff station reads the accession barcode, encodes an ISO 28560-compliant HF (13.56 MHz) tag and links it to the bibliographic record in your ILMS in a single step. The same desktop reader then handles counter circulation, tag re-programming, security-bit setting and patron card issue.

Challenges Solved
  • Barcode labels that fade, tear and need line-of-sight scanning
  • Vendor-locked tag formats that prevent future hardware changes
  • Slow counter issue and return for faculty and bulk loans
  • No controlled process for tagging new acquisitions
Self Check-Out & Check-In Kiosks
rfid-aidc

Self Check-Out & Check-In Kiosks

Touchscreen kiosks let students and faculty issue, return and renew books themselves by tapping their university ID card. Multiple tagged books placed on the reader pad are identified together, the security bit is switched automatically and a receipt is printed or emailed. Kiosks support English and regional-language interfaces and show dues and fines before the transaction completes.

Challenges Solved
  • Long queues at the circulation desk during exams
  • Staff time lost to repetitive issue and return transactions
  • Late-evening and weekend access without counter staff
  • Errors from manual due-date and fine calculation
RFID Security Gates (EAS / AFI)
rfid-aidc

RFID Security Gates (EAS / AFI)

Slim pedestal gates at library exits read every tagged item passing through and check its security status in real time. An un-issued book triggers an audio-visual alert and logs the title, time and gate, so staff know exactly what left the building. Built-in people counters record footfall by hour and entrance, producing evidence for accreditation reports.

Challenges Solved
  • Theft of high-value reference and competitive-exam titles
  • Intrusive manual bag checks at the exit
  • No record of which item raised an alarm
  • Manual, unreliable footfall registers
24×7 Smart Book Drop & Auto-Sorter
rfid-aidc

24×7 Smart Book Drop & Auto-Sorter

Wall-mounted or free-standing return stations accept books at any hour, check them in against the ILMS instantly and re-arm the security bit. Optional conveyor sorters route returns into bins by collection, floor or reservation status, so books waiting for another student are separated automatically and reach the shelf faster.

Challenges Solved
  • Returns only possible during counter hours\
  • Piles of unsorted returns delaying re-shelving
  • Disputes over whether a book was returned on time
  • Hold requests missed because returns were not checked promptly
Handheld RFID Inventory & Shelf Management
rfid-aidc

Handheld RFID Inventory & Shelf Management

Librarians sweep a lightweight RFID wand along the shelves to read spines without removing books. SeekSoft iLib compares what is found with the shelf list to flag missing, misplaced and wrongly issued items, and guides staff to a specific title with a proximity search. Annual physical verification moves from a multi-week closure to rolling, section-wise audits.

Challenges Solved
  • Stock verification that closes the library for weeks
  • "Not on shelf" complaints for books shown as available
  • Weeding and relocation projects with no accurate item list
  • Missing-item write-offs based on guesswork
Smart Shelves for Reserve & Reference Sections
rfid-aidc

Smart Shelves for Reserve & Reference Sections

Antenna-equipped shelves continuously read the items they hold, giving a live count and location for high-demand collections such as course reserves, reference titles and competitive-exam material. Staff see instantly when a reserve copy leaves its shelf, and students can check on-shelf availability from the OPAC before walking over.

Challenges Solved
  • Short-loan reserve copies disappearing inside the library
  • No visibility of in-library (non-issued) usage
  • Students walking to empty shelves
  • Reference titles hoarded during exams
ILMS Integration via SeekSoft Middleware
rfid-aidc

ILMS Integration via SeekSoft Middleware

SeekSoft iLib connects every RFID device to your existing Integrated Library Management System through the SeekSoft™ middleware platform, using standard SIP2 and NCIP protocols and REST APIs. Institutions keep their catalogue, patron database and workflows in Koha, SOUL, Libsys or other ILMS, and gain RFID automation without migrating data.

Challenges Solved
  • Fear of replacing a working ILMS to adopt RFID
  • Point-to-point device connections that break on upgrades
  • Duplicate patron and item records across systems
  • No single log of transactions from all devices
Smart ID Card & Library Access Control
rfid-aidc

Smart ID Card & Library Access Control

Students and faculty use one RFID or NFC university ID card to enter the library, borrow books and use self-service kiosks. Access rules can restrict digital labs, research carrels or special-collection rooms to authorised users, and entry and exit logs feed attendance and footfall analytics.

Challenges Solved
  • Separate cards for campus access and library membership
  • Unauthorised users in reading halls and labs
  • Manual entry registers at the gate
  • No link between patron activity and library usage data
Library Analytics & NAAC / NIRF Reporting
rfid-aidc

Library Analytics & NAAC / NIRF Reporting

The SeekSoft iLib dashboard brings together circulation, footfall, in-library use, alarms and inventory results. Librarians see which titles are in demand, which sit unused and which sections need more seating, and export ready-made reports that support NAAC Key Indicator 4.2 (Library as a Learning Resource) and NIRF data submissions.

Challenges Solved
  • Accreditation evidence compiled from paper registers
  • Acquisition budgets spent without usage data
  • No insight into peak hours for staffing decisions
  • Separate spreadsheets for footfall, circulation and audits
Mobile App, Reservations & Holds Lockers
rfid-aidc

Mobile App, Reservations & Holds Lockers

Students search the catalogue, reserve titles, renew loans and receive due-date reminders on their phones. Reserved books are placed in RFID-secured pickup lockers that open with the student ID card, so collection is possible outside counter hours and staff no longer manage a holds shelf by hand.

Challenges Solved
  • Reservation queues managed on paper
  • Missed due-date reminders and avoidable fines
  • Holds shelves that are disorganised and insecure
  • Low engagement from digital-native students
Multi-Campus & Inter-Library Loan Management
rfid-aidc

Multi-Campus & Inter-Library Loan Management

Universities with constituent colleges, departmental libraries or multiple campuses run all sites on one SeekSoft iLib platform. Items tagged to the shared ISO 28560 data model can be issued and returned at any branch, transfers between libraries are tracked end to end, and the central librarian sees consolidated statistics for the whole university.

Challenges Solved
  • Departmental libraries operating as isolated silos
  • Books "lost in transit" between campuses
  • Inconsistent policies across constituent colleges
  • No consolidated view of university-wide holdings
Theses, Rare Books & AV Media Tracking
rfid-aidc

Theses, Rare Books & AV Media Tracking

Media-safe RFID labels and tamper-evident tags protect theses, dissertations, rare manuscripts, CDs, DVDs and bound journals. Restricted items can be marked reference-only so gates and kiosks block their issue, and every movement of a rare item is logged for audit and preservation records.

Challenges Solved
  • Irreplaceable theses and rare books leaving the premises
  • Standard tags interfering with CDs and DVDs
  • No audit trail for high-value archival items
  • Manual registers for reference-only material
Managed Library RFID Services & AMC
rfid-aidc

AOPL supports SeekSoft iLib deployments beyond installation with remote device-health monitoring, preventive maintenance, tag and consumable supply, software updates, staff training and a helpdesk with defined response times. Universities get predictable operating costs and a single accountable partner for hardware, software and integration.

Challenges Solved
  • Idle kiosks and gates after the warranty period
  • No in-house expertise to troubleshoot RFID hardware
  • Multiple vendors blaming each other for failures
  • Staff turnover eroding system know-how
