IT Asset Tracking with RFID
IT Asset Tracking with RFID
for Data Centres & GCC Campuses
SeekSoft ATS gives infrastructure and ITAM teams live, rack-level truth about every server, switch, laptop and data-bearing drive — across colocation halls, hyperscale campuses and Global Capability Centre offices. 99%+ inventory accuracy. Audits in hours, not weeks.
What is IT Asset Tracking with RFID?
RFID IT asset tracking is the use of passive RAIN RFID tags, fixed and handheld readers, and asset-management software to identify, locate and reconcile IT hardware automatically — without line of sight, without opening rack doors, and without a human typing a serial number. A single handheld sweep reads hundreds of tags a second; a fixed reader at a cage door records every asset that crosses it.
SeekSoft ATS is AOPL's asset-tracking platform, built on the SeekSoft™ middleware that already runs RFID estates across 12+ Indian cities. It sits between your reader hardware and your systems of record — ServiceNow, SAP, DCIM, fixed-asset register — and turns raw tag reads into a defensible, continuously current asset baseline.
For a data centre, that means always knowing which server is in which rack at which U-position. For a Global Capability Centre campus, it means knowing which laptop, docking station or test device is with which employee, on which floor, in which entity — and proving it to an auditor on demand.
Problems We Solve
Data centre operators and GCC infrastructure heads manage tens of thousands of high-value, highly mobile, data-bearing assets — with tooling designed for a spreadsheet era.
Ghost Assets & Phantom Records
Hardware written off but still on the register — and hardware running in production but absent from it. Ghost assets inflate depreciation, insurance and AMC spend, and quietly break every capacity model built on top of the CMDB.
Audits That Consume Weeks
Manual rack-and-stack verification runs at roughly an hour per rack — opening doors, torch in hand, reading barcodes, reconciling to a spreadsheet. A 300-rack hall becomes a multi-week project that is stale before the report is signed.
CMDB and Reality Drift Apart
Every MAC — move, add, change — that is not back-filled into the CMDB widens the gap. Within two refresh cycles the configuration database describes a data centre that no longer exists, and incident response starts with a search party.
Unproven Chain of Custody
When a data-bearing drive or a decommissioned server cannot be traced from rack to sanitisation to disposal, the organisation carries an undocumented breach exposure — and no defensible answer for an ISO 27001, SOC 2, PCI DSS or DPDP enquiry.
Devices That Never Come Back
Hybrid work and GCC attrition mean laptops, monitors, headsets and dongles leave campus routinely and return unevenly. IT recovers assets by email reminder, finance writes the rest off, and no one can say how much walked out last quarter.
Multi-Entity Compliance Load
SEZ and STPI units must keep bonded capital goods traceable and de-bond them with approval. CARO 2020 requires physical verification of fixed assets. SOX-controlled GCCs need evidence, not assertions. All of it lands on the same thin ITAM team.

Rack-Level RFID & Smart Cabinets for Data Centres
Know which asset occupies which rack and U-position, which U-slots are free, and what changed since the last read — without opening a cabinet door.
Learn More →SeekSoft ATS — The Asset Intelligence Layer
SeekSoft ATS is the middleware and application layer that turns millions of raw RFID reads into a single, trustworthy answer about your IT estate. Readers are noisy by nature: a tag three racks away can be read through a mesh door, a technician's handheld will catch assets in the next row. SeekSoft ATS applies RSSI filtering, zone geometry, read-rate thresholds and dwell logic to convert that noise into confirmed location events.
Learn More →Zero-Touch Audit & CMDB Reconciliation
Scheduled or continuous inventory runs that reconcile thousands of assets in hours, producing a signed, timestamped audit pack for finance and assurance.
Learn More →Chain of Custody, Portals & Unauthorised Movement Control
Portal reads at cage doors, gates and stores bind every movement to a person, a work order and a timestamp — an evidence trail, not an assumption.
Learn More →GCC Campus Device Lifecycle — Issue, Move, Recover, Prove
Issue, transfer, recall and return of laptops and peripherals, tied to HRMS joiner-mover-leaver events so recovery starts before the last working day.
Learn More →Data-Bearing Media, Decommissioning & DPDP-Ready Disposal
Individual tagging of drives and SSDs, sanitisation workflow, and destruction certificates linked to serial numbers for DPDP and ISO 27001 evidence.
Learn More →Tag Engineering & Reader Infrastructure Built for Metal
On-metal, high-temperature, tamper-evident and flexible label tags selected and RF-tested for server chassis, rails, cable trays, drives and laptops.
Learn More →Integration Fabric — RFID Truth Inside the Systems You Already Run
Full on-premise installation with no outbound connectivity for sovereign, BFSI and defence-adjacent estates — the same model SeekSoft runs in secure sites today.
Learn More →Utilisation Analytics, Refresh Planning & ESG Reporting
Utilisation, idle-asset discovery, warranty and EOL exposure, refresh forecasting, and circular-economy reporting for the sustainability disclosure pack.

In a data hall, "the asset is in Hall 3" is not an answer. SeekSoft ATS resolves location to the rack and the U-position, using rack-mounted antenna strips or reader-equipped cabinets that read the tags on every chassis continuously. Install a server, and the platform records its arrival, its slot and its neighbours without anyone updating a sheet. Remove it, and an exception opens the same minute.
For high-density and high-value estates — GPU nodes, encryption modules, storage shelves, optical spares — reader-equipped smart cabinets maintain a live manifest of contents and bind every open-and-remove event to a badge identity. This is where RFID stops being an inventory tool and starts being an operational control.
Antenna placement is not guesswork. AOPL conducts an RF site survey covering cold-aisle containment, mesh doors, cable density, perforated tiles and metal reflection before a single bracket is fixed, so read zones stay inside the rack they belong to and do not bleed into the next row.

Where SeekSoft ATS Earns Its Keep
Six situations that recur in every large data centre and GCC campus — and what changes when assets carry a readable identity.
Finding one server in a 300-rack hall
Before: an engineer walks aisles with a serial number and a torch, often for an hour, sometimes into a change window. With SeekSoft ATS: the platform returns rack and U-position instantly; handheld geiger mode confirms it within a metre. Mean time to locate drops from an hour to under five minutes.
Statutory fixed-asset verification
Before: a three-week annual scramble, temporary headcount, and a variance report the CFO signs with reservations. With SeekSoft ATS: a scheduled run produces a coverage map, a classified variance log and a sign-off trail — CARO 2020 physical verification evidenced, not asserted.
Hardware refresh and migration
Before: migration plans built on a CMDB nobody trusts, discovered wrong on cutover night. With SeekSoft ATS: a verified pre-migration baseline, live tracking of every crate and chassis between sites, and a post-migration reconciliation that closes in a day rather than a quarter.
A drive goes missing
Before: discovery weeks later during a count, with no way to establish when it left or who carried it. With SeekSoft ATS: the exit read fires in real time, the turnstile holds, security is alerted, and the custody trail names the person — the difference between an incident and a notifiable breach.
Attrition and device recovery
Before: exit clearance relies on the employee remembering what they hold; unrecovered kit is written off quietly. With SeekSoft ATS: the HRMS exit event generates the exact asset list, recovery tasks and escalations — and the gate confirms what actually came back.
Paying AMC on assets you no longer own
Before: renewal quantities carried forward from last year's schedule because nobody can prove what was retired. With SeekSoft ATS: the renewal scrub runs against verified physical presence — typically the first year's savings alone clear a meaningful share of the deployment cost.
What Changes in the Business Process
RFID does not add a reporting layer on top of existing work. It removes work — by making the physical estate self-reporting.
| Process | Manual / Today | With SeekSoft ATS | Shift |
|---|---|---|---|
| Full physical inventory | 2–4 weeks, multiple staff, line-of-sight scanning at ~1 hour per rack | Hours, one technician, no line of sight, under a minute per rack | 85–90% less effort |
| Asset register accuracy | 70–85% at audit, decaying immediately afterwards | 99%+, maintained continuously between audits | +15–25 points |
| Locating a specific device | 30–60 minutes of aisle walking, often during a change window | Under 5 minutes via rack/U lookup and handheld find mode | ~90% faster |
| MAC record updates | Manual ticket entry, frequently skipped under pressure | Automatic from read events, exceptions flagged same day | Near-zero drift |
| Chain of custody | Registers, emails and recollection | Timestamped, badge-bound, exportable movement history | Evidence, not assertion |
| Decommissioning & disposal | Batch certificates, loose serial mapping, reconstruction at audit | Serial-level certificate matching with mandatory checkpoints | Defensible |
| Employee device recovery | Email reminders after the last working day; quiet write-offs | HRMS-triggered recovery workflow with gate-level confirmation | Measurable recovery |
| AMC & warranty spend | Renewal quantities carried forward from prior schedules | Renewals scrubbed against verified physical presence | Direct cost release |
| Audit preparation | A project each cycle, with dedicated headcount | A report generated from a register that is already current | Days to minutes |
